Ethics & Compliance

Ethical conduct is a priority of our business, and we commit to incorporate integrity and compliance throughout all levels of the company.

Our employees are responsible for reviewing and recommending policies and procedures that maintain a business environment committed to high standards of ethics, integrity, sustainability, and legal compliance. Ethical conduct and integrity is carried on from the corporate offices to the field and is a prerequisite for all of our employees and partners. 

Our code of conduct involves a continual review of how evolving legislation, guidelines and best practices should be reflected in our approach. Through this, our code of conduct focuses on three key indicators: ethical businessconduct, human rights policies and systemic risk management.

We place utmost confidence in each one of our employees to act according to the guidelines that we have developed internally. Having developed a proactive framework in which employees are not expected to be monitored or micromanaged intensively, it has shown tangible results in “unlocking the potential” that is part of our Hafnia DNA. Not only is considered as our DNA, but also considered as developing a frame of mind in which Hafnia is not just a place to work, but rather a mindset. 

Our employees and senior management are involved in every single one of the projects and contracts that Hafnia engages in, which allows for in depth monitoring and continuous learning.

Furthermore it allows for every single person involved in the project to assess and influence the financial and operational performance of the capabilities we manage, therefore ensuring strong governance.

At Hafnia, we continuously evaluate our risk management policies, asserting that risk management is an integral part of a well-functioning system for internal controls. Such risks, for instance, include but are not limited to ethics, data privacy, bribery and corruption and supply chain compliance.

Our general guiding principles in working as a company towards achieving strong governance and ethical practices include:

  • We adopt a zero-tolerance approach to bribery and corruption and ensure that the businesses we manage adhere to rigorous policies and procedures.

  • Framework policy is reviewed annually and approved by Hafnia’s risk & audit committee.

  • Hafnia adheres to a rigorous conflict of interest policy. Each potential project or agreement is screened for possible conflicts and, if identified, they are elevated to the pertinent steering committee. 

  • We have strengthened our cyber security approach across the businesses we manage to respond to the growing risk that cyber attacks pose on internal sensitive data. 

  • At Hafnia we do not believe in strong hierarchical traditional style models. We encourage informal interaction between leadership and employees, based on mutual trust, openness and respect, in order to create synergies within our teams.

Operating philosophy

Conducting all activities with the utmost honesty, integrity and respect is integral to our operating philosophy.

We conduct all activities in compliance with applicable legal and regulatory requirements, and in alignment with our Code of Conduct . Our Code of Conduct applies to all Hafnia’s directors, officers, employees and temporary workers.

Our Code of Conduct principles include: 

  • Protecting the Firm’s assets, resources and data.

  • Ensuring accuracy of books and records and public disclosures.

  • Duties to stakeholders, including acting responsibly in our dealings.

  • Managing conflicts of interest and personal behavior responsibly.

  • Providing a positive work environment.

  • Compliance with laws, rules, regulations and policies.

Our Board annually reviews the Code of Conduct and considers any necessary changes in the Firm’s standards and practices. The Risk Management Committee of the Board monitors compliance with the Code of Conduct and receives regular reports on any compliance issues from the Firm’s internal and external auditors. 

Hafnia is committed to an environment where open and honest communications are the expectation, not the exception. A significant component of fostering a positive work environment is ensuring multiple means by which employees are able to raise concerns both informally by fostering a culture of respect, openness and collaboration. Our Whistleblowing Program encourages employees to raise concerns as soon as possible, and to feel safe in doing so. We have a zero-tolerance approach to bribery, including facilitation payments. We mandate all Hafnia’s employees complete an annual in-depth anti-bribery and corruption (ABC) training seminar.
